Executive summary

This is a reactivation and cleanup project, not a rebuild.

Both GHL sub-accounts have solid infrastructure and strong email deliverability. The core issue across the board is not broken systems. It’s unfinished ones. On April 12, 2026, when the team transitioned, dozens of active workflows were bulk-set to Draft status. Since that date, key automations have been silently off.

Legacy calendars, workflows, pipelines, and funnels built for a 10-person team that no longer exists are also cluttering both accounts and making it harder to see what is actually running.

The good news

Nearly everything can be fixed by turning things back on and cleaning up what is no longer needed. Very little requires a rebuild from scratch.

What’s working well
  • Email deliverability is excellent on both accounts. 99% delivery rate, 0% spam complaints. Domain warmup is correctly configured.
  • Open rates are strong. Microdose Movement: 28%. Microdose.com: 30%. Both well above industry average for supplements/wellness.
  • Microdose.com email domain is fully warmed. Stage 8, with 20,000 email/day capacity. Ready to scale.
  • Microdose.com SMS is fully compliant. A2P 10DLC verified. The SMS reactivation sequence is legally sound and deliverable.
  • SMS Reactivation is the most sophisticated workflow in the audit. Smart segmentation, time-windowed sending, drip mode rate limiting, a BOGO offer, and completion tagging. 331 people are mid-sequence and will complete it correctly.
  • Meta Reactivation Q3 ran cleanly. 771 contacts completed a 3-step conditional sequence.
  • Influencer pipeline is built and ready. WF-01 through WF-05 are published and connected to ShipStation. Waiting for first form submission.
  • Microdose.com has active booking infrastructure. MCRDSE Founder Call, Chat With Kecho, Discover Your Perfect Blend, and 90-Day Coaching Package discovery calendars are all active.

Finding #1

WooCommerce Post-Purchase Workflows Are Off

Impact: Every customer who places a WooCommerce order since April 12 has received no automated follow-up, including no purchase confirmation or shipping notification from GHL.

  • Post Purchase Confirmation Flow: Draft, 593 historically enrolled, 0 currently active
  • Wc Order Shipment Confirmation Workflow: Draft, 168 historically enrolled, 0 currently active

Both were last updated April 12 (team transition date) and bulk-drafted. Customers are completing purchases and hearing silence. Whatever confirmation exists is coming from WooCommerce’s native order email only, with no GHL-powered relationship touchpoint after purchase.

Fix

Open each workflow, review steps, publish both. ~15 minutes.

Finding #2

592 Contacts Never Entered the Nurture Sequence

Impact: The entire warm audience from the Welcome Series has never received nurture content.

592 people completed the Welcome Series: Wandering Spore. The final step applies the tag welcome-series-complete. The Movement Nurture Sequence is triggered by that exact tag. However, GHL only fires tag-based triggers for tags added after the workflow is published. The tag step was added July 9 during a bulk edit. All 592 historical completions were not retroactively triggered. Only 1 test contact is inside the nurture sequence.
Fix

Contacts → filter by tag welcome-series-complete → bulk enroll into Movement Nurture Sequence. ~15 minutes.

Finding #3

Microdose Movement SMS Registration Failed

Impact: SMS messages sent from the Movement account are likely being filtered or silently blocked by major carriers (AT&T, T-Mobile, Verizon). Sends may appear successful in GHL but never reach recipients’ phones.

The phone number (+1 318-252-0555) is labeled “Kevin’s number”, referring to a former team member. The A2P 10DLC registration for this number is incomplete or failed. Without A2P registration, US carriers treat outbound messages as unregistered spam.
Fix
  1. Phone System → Trust Center → complete/resubmit A2P 10DLC registration
  2. Rename number from “Kevin’s number” to brand name
  3. Note: A2P approval takes 2–4 weeks once submitted, so start immediately.
Finding #4

No Reply-to Address on Microdose.com Emails

Impact: When any customer replies to a product-side email, the reply has nowhere to go.

Microdose Movement has support@mcrdse.com correctly set. The product account was missed entirely.
Fix

Settings → Email Services → Reply & Forward Settings → add reply-to address. 2 minutes.

Finding #5

Former Team Member Calendars Are Still Active

Impact: Security and brand risk. Former employees’ personal booking links may still be live. Customers could be booking appointments with people no longer on the team, and those individuals may still be receiving notifications.

  • Sebastian colores’s Personal Calendar: Active, last updated Feb 9, 2026
  • Peace Abel’s Personal Calendar: Active, last updated Apr 6, 2026 (6 days before team departure)
Fix

Deactivate or delete both calendars immediately. Also check for “sundar waranperumal’s Personal Cal...” in the Movement account. It was visible as Inactive but should be deleted entirely.

Six operational gaps need attention within the month to protect list health, restore acquisition follow-up, and bring core revenue infrastructure back into view.

Status: Draft, 157 enrolled, 0 active

Contacts who unsubscribe or bounce are not being properly processed. Over time this creates list hygiene risk and could affect deliverability.

Review suppression logic, publish.

Lead Magnet Follow-up Has No Follow-up

Status: Draft, 0 enrolled, created July 4, 2026

The field guide popup is collecting leads. Those leads receive nothing after subscribing. This workflow was built three weeks ago and left in Draft.

Instagram Automations Are Off

Status: Guide Comment (18 total, Draft), Quiz Comment (5 total, Draft)

Both IG comment automation workflows exist and were built. They just need to be reviewed for current content relevance and published.

SmartLeads → GHL Pipe Isn’t Firing

The GHL side of the SmartLeads integration is built: a booking workflow (Draft, 0 enrolled) and a Hot Cold Lead notification workflow (Published, 0 enrolled). Zero contacts flowing through means the issue is on the SmartLeads side. The webhook or integration trigger isn’t passing data to GHL.
Fix

In SmartLeads, verify the GHL webhook URL is correctly configured. Also publish the booking workflow so it can accept contacts when the pipe opens.

Main Product Pipeline Untouched for a Year

The MCRDSE pipeline (6 stages) hasn’t been updated since July 2025. It’s unclear how many contacts are sitting in stages with no active automation connected to them. The Influencer Program pipeline (9 stages) is active and recent. The same attention needs to go to the core customer pipeline.

Review contacts in each stage of the MCRDSE pipeline, confirm or build automation triggers for each stage transition.

Affiliate Manager Not Launched on Either Account

  • Microdose Movement: Affiliate Manager completely unused (showing first-launch screen)
  • Microdose.com: Dashboard accessed but 0 affiliates, 0 revenue, $0 generated

Kecho clearly has an active affiliate program intention. There is a dedicated Affiliate Recruiting & Lifecycle pipeline (8 stages, updated June 13), and the old team built 7 manual commission tracking workflows for individual affiliates. Manual commission tracking via workflows is fragile and hard to scale.

GHL’s native Affiliate Manager handles click tracking, commission calculation, and payout automation without any workflow maintenance. The infrastructure Kecho needs already exists in GHL. It just hasn’t been activated.

Note: GHL shows an “Import from First Promoter” prompt. It is worth confirming with Kecho whether he has existing affiliate data there that could be migrated.

Fix

Set up GHL Affiliate Manager on Microdose.com (the product account, where purchases happen). Create the first campaign. Migrate or archive the manual commission workflows.

Five opportunities require a deliberate business decision or a focused new build. These come after immediate risk and operational cleanup.

Finding #12

No Core Product Customer Lifecycle Exists

The Core Lifecycle folder was created but is completely empty. Once a customer purchases from Microdose.com and receives a confirmation (after Finding #1 is fixed), there is nothing after that: no product education, check-in, re-order prompt, or upsell path.
Recommendation

Build a minimum viable lifecycle sequence:

  • Day 1–3: Product onboarding / how to use
  • Day 7: Check-in + invite to Microdose Movement community
  • Day 21–30: Re-order prompt or subscription offer

Legacy Infrastructure Needs Archiving Across Both Accounts

Movement: The entire mcrdse automation folder contains 20+ draft workflows built for the old 10-person coaching team. Commission tracking for 7 individuals, Pabbly Connect automations, and Smartlist campaigns were all created October to November 2025, drafted April 12, and have 0 enrolled. None are needed.

Calendars: Movement has 31 calendars total with only 1 active. The remaining 30 include Round Robin coaching package calendars built for team members who no longer exist. Microdose.com has 27 calendars with similar clutter.

Funnels: Both accounts have identical sets of dormant GHL funnels (MCRDSE Chocolate Sales Page, Sales Page, Skin Care Sales, Test Product, We’re Back Direct Mailer) all untouched since 2025. The business runs on external websites (mcrdsemovement.com and mcrdse.com via WooCommerce). These GHL funnels are not in active use.

Recommendation

Archive the legacy automation folder, delete or deactivate unused calendars, and assess whether any GHL funnels should be repurposed for campaigns or retired.

4,188 Dormant Dripify Leads Need a Decision

4,188 LinkedIn leads imported via Dripify are sitting in a draft workflow with no active processing.

  • Re-engage: Segment by recency and warmth, run a re-permission campaign for the top tier
  • Suppress: If the LinkedIn campaign is no longer active, suppress the entire list
  • Clean: Use a re-permission approach. Anyone who doesn’t respond within 30 days gets suppressed
Recommendation

Don’t blast all 4,188. Start with a re-permission approach on the most recent 500–1,000 imports.

Emails are resonating at the subject line level but not converting to action. A 30% open rate with 1% clicks means 29 out of every 30 openers read and do nothing. Common causes: multiple CTAs diluting intent, CTAs buried below the fold, links pointing to homepage instead of product pages, or email content not matching the CTA’s offer.

Recommendation

Pull the top 3 highest-volume emails from each account. Review CTA placement, copy, and destination URL. A/B test one revised version. Moving from 1–2% to 3–4% clicks on the existing list represents meaningful revenue without adding a single new subscriber.
